​Features to support any kind of choir

Since 2009 we’ve been building and improving our choir system, and now we’ve got almost a thousand choirs using the system, worldwide. They have very different needs, but the Choir Genius system can be configured to work for any type of choir, from community choirs and church choirs to children’s choirs and professional ensembles. Features are summarized below.

Member database and tools

Member database: The member database keeps profile information, contact details, part assignments and more all in one convenient place. Members can log in and self-manage their profiles, reducing the burden on administrators.

Security roles: Assign different security roles to people, so they can see only what they should see. Easily delegate administration of specific tasks to staff or volunteers.

Friendly navigation: Members have a convenient dashboard of important information right when they log in, and one-click access to the most important data like their music, events and invoices.

Invoicing and store: Invoice individuals or everyone in a group with just a few clicks. The site will take care of collecting the money via your PayPal account.

Attendance tracking and reporting: Members set their attendance plans so you can see who’s going to be there. Then at the event, take attendance so you can spot trends, and individuals who need to be contacted.

Multiple, separate ensembles: Got more than one ensemble in your organization? Use custom roles to keep their music, events and other information separate and clear.

Music and learning tools

Music library: A convenient place for your music PDF files, learning tracks, video resources, choreography and song-specific riser charts/riser placements in one place. Keep track of thousands of songs in your library, and assign the current ones to your singers by role.

Music learning and reporting: 
Assign music to be learned, give it a date, and keep track of how well each singer knows each piece.

Rehearsal and performance planning: 
Create detailed programs for your rehearsals and performances, including what music will be rehearsed or performed, detailed timing and assignment of time blocks to section leaders or other music staff.

Riser placements / standing charts: 
Drag-and-drop riser placements/standing charts take the guesswork out of getting on the risers. Organize your singers by voice part, by voice type, by height, etc. Overlay attendance or music learning information, to see otherwise hidden problems. Flat or curved risers both available.

Music download tracking and stats: 
See how well your music resources are being used and stay on top of per-copy fees

Member recording assessments: 
Singers can upload recordings of themselves to get feedback from section leaders, who listen and comment right on the site.


Communication tools

Flexible member dashboard: Use the dashboard to highlight what’s most important for your group by dragging and dropping out-of-the-box blocks of personalized content, or create your own blocks. Members will land here every time they log in to the system.

Email lists: Take the pain out of email communication with our lists. Create as many lists as you want based on roles or subgroups, and they stay up to date automatically! Spam filtering and open and click tracking included.

Notifications: Configure the site to notify people automatically about when to learn music, if they’ve been invited to an event, or if they have an invoice due.

Members only blog / newsletters: Post blogs for your members securely and easily

Group calendar & agenda: The group calendar is where all your singers can find out where to be, and what’s going to happen when they arrive. Use the call-time and private notes field to give detailed instructions about performances, like what outfit to wear, or where to park.

Polls, web forms and surveys: Ask simple questions with polls, or create complex forms to gather detailed information from your members.

Choir CRM / Patron and Donor Management

Choir genius has an integrated CRM system that will improve many aspects of your operations including marketing, ticket sales, recruiting, grant applications and of course donations. It is simple to set up and use, extremely powerful, and much less expensive than any comparable system.

Advanced contact database: Our contact database was designed from the ground up to support all the people and companies in your community. It’s an easy and flexible way to capture all your contacts’ email addresses and phone numbers, as well as their physical addresses and preferences. We even capture relationships between contacts, so you can see who is an employee of a company in your database, or who belongs to the same household.

Contact history database: Each contact record keeps a complete history so can see every time that person made a donation, bought a ticket, attended an event, and every time you communicated with them. The complete history can be used to create advanced segments – see below!

Flexible segmentation: Since all your contacts will (finally!) be in one place, the system will help you divide them into separate lists so you can have communicate with different messaging for each group. Segments can be built based on many criteria including history, and they can be as complex as you need them to be. So if you want to send email to everyone who made a donation in the past three years but not this year, who have never been a member, and who live within 20 miles of your house, you can do that! And of course, the segments stay up to date as your contacts change, saving you countless hours of work.

Email marketing: Once you’ve defined a segment, you can use it to drive an email list right from your web site, without resorting to disconnected third-party tools. And just like dedicated email marketing tools you might be familiar with, we’ll track every time a contact opens your email or clicks on a link, and notify you if your emails bounce.

Flexible sales funnels: Any contact in the system can be turned into an opportunity, so you can follow up with that person and nudge them through a series of steps towards taking an action, like joining your choir or making a donation. You can have one sales pipeline with customized stages for each sales process, from recruiting to grant applications to major gifts. Delegate the follow-up work to any number of outreach people, to really accelerate your results. This sales system is just as powerful as comparable tools from a billion-dollar company that will remain nameless, but much, much simpler to set up and use.

Reporting tools: No marketing and sales system would be complete without a powerful reporting engine to show you the state of your database and your results. The Community module includes a reporting engine with many built-in reports that you can customize. You can even create your own reports completely from scratch. Reports can be exported to many different formats.

Public facing Smart Site

Self-service public site: No need to go through a webmaster to keep your site up to date, because you can do it yourself, right through your browser. Divide the work between several people with the "Content Manager" role, to make light work.

Choir-specific content: Sure you can do straight-up HTML in a smart site, but our built-in content types make the work much easier. From biographies and ensembles to events and links, creating and editing content is just as easy as filling out a form.

Attractive, mobile-ready themes: Choose from several attractive themes, each of which can be customized extensively to match your brand by uploading your logo and graphics, and by picking a color scheme. And all our themes are optimized for viewing on phones as well as desktop computers, so everyone will get the right impression when they view your public-facing content.

Help is available: You can do it all yourself if you want, but if you want to really knock it out of the park, and lack strong design skills, we can help. A typical engagement with one of our web design professionals costs just a few hundred dollars, and they’ll work with you from start to finish to deliver a truly unique and attractive site.
